• Reservation details: Dates, guest counts, and notes associated with your reservations.
• Authentication data: One-time passcodes (OTPs) used to sign in. Codes are hashed before storage and automatically expire after 5 minutes.
• Usage data: Basic session information to maintain your login.

How We Use Your Information

• Account management: To identify you and manage your access to the reservation system.
• Authentication: To send one-time passcodes via email or SMS so you can sign in securely.
• Notifications: To send reservation confirmations, reminders, and important updates about the lodge.

Messaging Disclosure

We use Resend for email delivery and Twilio for SMS delivery. When you sign in or receive notifications:

• Email messages are sent from a verified Emlen Lodge email address via Resend.
• SMS messages are sent from a registered Emlen Lodge phone number via Twilio.
• Message frequency varies based on your usage (sign-ins, reservations).
• Message and data rates may apply for SMS.
• Reply STOP to any SMS to opt out. Reply HELP for support.

Information Sharing

We do not sell, rent, or share your personal information with third parties for marketing purposes. Your data is only shared with:

• Service providers: Resend (email) and Twilio (SMS) to deliver messages, and AWS to host the application.
• Lodge administrators: Managing partners can view member information to manage the property.

Data Retention

We retain your account information for as long as your account is active. Reservation records are retained for record-keeping and historical reference. You may request deletion of your personal data at any time.

Data Security

We protect your data using HTTPS encryption in transit, hashed authentication codes, encrypted sensitive fields (AES-256-GCM), and HTTP-only session cookies.

You have the right to:

• Opt out of SMS notifications by replying STOP.
